Time Management Tips

Time is a precious commodity, and it is even more important when you are running a business or a project. You still have 24 hours a day, but now you have more responsibilities than before. There are some people who will freak out and get stuck in the same place because they don’t know what to do. It is normal to freak out a little, but you will still need to do it. With the right approach, you will be able to accomplish more without feeling like you don’t have enough time. Below are some great time management tips.

Know your goals

Make sure that the activities you are engaging in help in reaching your goals, both in the short-term and long-term. Everything that does not directly contribute to the goals of the project or business is a potential time-waster. You should have a daily plan in place, and it should revolve around task and activities that directly contribute to your goals. There are things that will need to be done that don’t have a direct impact on the goals, and you can have other people do this tasks. Understanding how to run a successful project is a skill you can learn using online training for Prince2 and or PMP. This will ensure every time you have is being used wisely.

Prioritize wisely

Not all activities will have the same level of urgency. You should group them into different categories;

Important and urgent: These are tasks that must be done right away

Important but not urgentL These are tasks that look important but in the real sense they are not. Decide the best time of doing them.

Urgent but not important: These are those tasks that do make a lot of “noise”, but once you do them, you realize it doesn’t add anything to the goals of your project or business.

Not important and not urgent: These are those stuff that are not important and usually make you seem busy. These are the last ones you should be doing.

Note down

Note down the “important and urgent” tasks so you can address them today. Once you complete a task, check it off your list. Doing this will bring a sense of accomplishment and will motivate you to do more.

Don’t be afraid to say no

You don’t have to do everything. If you have to turn down a request so as to focus on an important task, don’t think twice. If you see an activity not going anywhere, stop it and move on to a more productive task.

Planning ahead

This is important because there is nothing worse than starting your day and not knowing what you are going to do. The time you are going to take to plan your day out will be very small compared to the time you are going to waste trying to jump from one task to another. You can plan out your day the night before or you can do it as the first thing when you get into your office.

You should also think about yourself. Get enough sleep and exercise because it improves your productivity.
